Privacy Policy for SiteLog

This Privacy Policy explains how Coxy The Builder handles information in connection with SiteLog – Job Site Report (“SiteLog”), an Android app for job-site records, diary entries, photos, follow-ups, reports, quotes, invoices, cloud backup and related work-management features.

Job and business information

Depending on the features you use, SiteLog may handle information such as:

Photos and photo metadata

SiteLog may handle photos you take or select, photo names, timestamps, markup/annotated copies and, if you enable the feature and grant permission, location coordinates associated with new photos.

Account information

Cloud backup is optional. If you enable it, SiteLog uses your email address to create or sign in to a SiteLog cloud account using one-time email verification codes. Authentication and cloud services are provided using Supabase.

Subscription information

If you subscribe to SiteLog Pro, Google Play processes the purchase. SiteLog and RevenueCat may process information needed to determine your subscription and entitlement status, such as the product purchased, subscription status and transaction-related identifiers. SiteLog does not receive or store your full payment-card details.

4. Local storage and optional cloud backup

SiteLog is designed to work primarily from the data stored on your device. Creating a cloud account is not required to use the app’s core local job-recording features.

If you choose to enable cloud backup, eligible SiteLog data is transmitted to and stored using Supabase database and storage services so that it can be backed up and restored. This can include job records, diary entries, contacts, profile/settings data, quotes, invoices, photo metadata and eligible photo files. Demo/example data is intended for local demonstration and is not included in SiteLog cloud backup.

Cloud storage limits and features may differ between SiteLog Free and SiteLog Pro.

5. Device permissions and features

Camera

SiteLog may request camera access so you can take job-site photos. Camera access is used only for app features that you choose to use.

Photos and files

SiteLog may access images or files you select and may create files such as PDF reports, CSV exports and local backup files when you ask it to do so.

Location

If you enable Save GPS location with new photos and grant Android location permission, SiteLog may obtain your device location when adding a new photo and associate latitude/longitude data with that photo. Location is optional, is used for the photo-location feature, and is not required for the app’s general job, diary, invoicing or reporting functions.

Calendar

If you choose to add a follow-up or reminder to your device calendar, SiteLog may pass the event details you selected to the calendar app or provider on your device. Calendar providers handle that information under their own terms and privacy practices.

Notifications

SiteLog may use local notifications for reminders or follow-ups you configure. You can control notification permission through Android settings.

9. Data retention and deletion

Data on your device

Local SiteLog data remains on your device until it is deleted through SiteLog, removed by clearing the app’s data, or otherwise removed by you or Android. Files you export or share may remain in other locations on your device or in third-party apps until you delete them there.

Cloud data and account deletion

If you create a SiteLog cloud account, SiteLog provides a way to request deletion of that account and its associated cloud data. You can initiate account deletion from within SiteLog. An external account-deletion request method is also provided for users who no longer have the app installed.

Deleting a SiteLog cloud account is separate from cancelling a Google Play subscription. If you have an active subscription, manage or cancel it through Google Play. Google Play and other service providers may retain transaction records under their own legal, accounting, fraud-prevention or platform obligations.

Deleting your cloud account does not automatically delete PDF reports, CSV files, photos, local backups or other copies that you previously exported or saved outside SiteLog on your own device or in another service.

10. Security

We use reasonable technical and organisational measures designed to protect SiteLog data. Cloud features use authenticated services and encrypted network connections provided by our service providers. No method of electronic storage or transmission can be guaranteed to be completely secure.

You are also responsible for protecting your device, email account and any exported SiteLog files using appropriate device security such as screen locks and account protection.

11. International processing

Some service providers used by SiteLog may process or store information in countries outside Australia. Where this occurs, information is handled under the provider’s applicable privacy and security arrangements and any legal requirements that apply to that processing.

12. Children’s privacy

SiteLog is a work and business productivity app intended for tradespeople, contractors and site personnel. It is not directed to children, and we do not knowingly design the service to collect personal information from children for advertising or profiling.

13. Changes to this policy

We may update this Privacy Policy when SiteLog features, service providers or legal requirements change. The current version will show its “Last updated” date at the top of this page.

This policy describes SiteLog’s current intended data practices. Google Play’s Data safety declarations should be kept consistent with this policy and with the behaviour of the version of SiteLog distributed through Google Play.
